The party planner AI agent is a conversational agent that helps users plan parties without manually handling every task. It automates the entire party planning process. The agent manages everything from the guest list and booking of the venue to generating invitations and sharing them with the guests.
Built to handle real-world event planning, the AI agent interacts with the user. It takes input on all the key details of the future event by asking questions such as the party date and time, budget, number of guests with age breakdowns, and desired location. These inputs help the agent create a list of venues that align with the user's preferences.
Upon confirmation, the agent can also initiate inquiries with the venue and update the user on the response. The AI agent works as a single coordination layer. It enables users to plan and manage a party from end-to-end without juggling through scattered tools.
The core challenge that the client highlighted was the shortcomings of manually planning parties and events. Despite having multiple digital tools for searching venues and creating party invites, the client faced the challenge of coordinating different tasks without spending hours and days figuring it out.
They wanted to build an agent that would allow users to handle end-to-end party planning at one layer. The client also put strong emphasis on developing an agentic solution that would save the time and effort users spend on manually searching for venues, reaching out to confirm them, arranging performers, creating and sending invitations, handling payments, and coordinating it all.
The process of developing the party planning AI agent commenced with brainstorming sessions with the client. Our team connected with the client to understand the vision of the event planner agent, the core features, analyze requirements, and technical feasibility. The consultation phases assisted our team in creating a strategic roadmap.
Working through the map, our team first worked on defining the logic of the agent. This specifically included the series of dependent decisions, like venue depending on budget, budget depending on guest count, and guest count depending on the type of party. This order helped our team form the sequence of questions that the agent will ask and when it will have sufficient context for beginning action.
As the logic was defined, our team worked on the conversational layer. This was followed by adding in-chat inputs, which mainly included the age-group selector, budget slider, guest count stepper to make data capture easy for the agent while keeping the experience from feeling form-like for the user. After this, the action layer was worked on, along with handling integrations for supporting venue searching, availability checking, and booking actions of the agent.
Once the designed flow was developed, we connected invitation generation, which turns the collected details into invitations using ready-made templates. All of this was then linked to a dashboard that gives information about the user's event history and current event progress.
After connecting all these dots, our team carried out the testing and validated the party planner agent with the client. This was followed by deployment, which was monitored to ensure reliable performance for users.
The results of our dedication was a party planner AI agent that transformed party planning from a scattered, manually handled process to an automated and conversation-guided one. The agent handled the entire party planning process, right from creating the guest list and selecting the venue to creating and sharing invitations and coordinating third-party services.
It connects all the scattered ends of a party planning process to a centralized layer, which enables the users to organize their entire event without juggling between multiple tools. The agent offers a conversational experience that allows users to enter their details without making the process feel like filling out a form.
